What happens to your data?
If you register as a member of our club, you will be asked to provide some personal details via a registration form:
- Firstname, initials, infix and surname
- Postal address
- Communication data: telephone number, cell phone number and e-mail address – if you are under 16, that of (one of) your parents
- Date of birth
- Gender
- Activity
- Number of ‘Rotterdampas’
- Whether you would like to receive our newsletter
We also store the following information about you:
- History of your sporting activities / achievements
- Your invoices and your payment history
- History of club functions
- Trainer, jury and first aid diplomas
- Certificate of conduct (V.O.G.)
Why do we store your data?
The club needs this information to pass it on to the Dutch Athletics Union KNAU or the Dutch Triathlon Association NTB (only the information at points 1 to 6) and to communicate with you.
We store historical data to monitor whether you have fulfilled your obligations to the club.
If you indicate that you would like to receive our newsletter, you can receive it by e-mail and/or on paper.
Publication of your data
Your birthday (without age) will be published on the Trackstars Nesselande website. If you object to this, you can indicate this by means of an e-mail message.
If you have participated in a training, a competition or another event in the context of your membership of the club, it is possible that your name and year of birth are stated in a report on the website and/or on the Social Media channels of Trackstars Nesselande. You may also be in a photo of the event. If you object to this, you can indicate this by means of an e-mail.
Exchange of your data
The data for points 1 to 6 are exchanged with the Dutch Athletics Union KNAU and/or with the Dutch Triathlon Association NTB. The association you are affiliated with needs this information to register you as a member of our club, and also for liability insurance. The association also uses this information to check whether and how you are eligible to compete and to send you your membership card.
If you register for a competition, the information at points 1, 4 (year of birth only) and 5 will be passed on to the competition organizer. The organizer needs this information to check whether you are eligible to compete and to classify you in the correct group(s).
Your information will, with the exception of the data exchanged with the sports association and the aforementioned competition organizers and the data contained in event reports, under no circumstances be made available to third parties.
Right to inspect your data
As a member but also as a former member of the club, you have access to the data registered about you at all times. You can submit a request for this by e-mail.
Right to have your data changed
If you notice that your data are incorrect, you can request by e-mail that your data be changed. We will immediately adjust them and send you confirmation by e-mail.
Right to be forgotten
After cancellation of your membership, your data will be kept as historical data. If you do not appreciate this, you can request by e-mail to have your data deleted in whole or in part. We will then pass this on to the Dutch Athletics Union KNAU and/or the Dutch Triathlon Association NTB.
However, the following data will be kept at all times in the context of the club’s financial reporting: year of birth, gender, start date and end date of membership and the invoice history. If desired, these will be completely anonymized.
